Refund & Cancellation Policy

This Policy is published by Tricky Labs LLC, a New Hampshire limited liability company doing business as SavaSync ("SavaSync," "we," "us," "our").

1. Overview

SavaSync is a software platform that helps fitness Studios run their booking and payment operations. Every Studio sets its own refund and cancellation policy for the Classes it offers. SavaSync's role is to facilitate refunds of online payments through Stripe per each Studio's stated terms; we are not the merchant of record for the underlying Classes, and SavaSync does not impose a Platform-wide default cancellation window. Payments made in person at a Studio (pay-at-the-door Bookings — see Section 2.5) never pass through SavaSync, so any refund of them is handled directly between you and the Studio.

This Policy describes (a) how cancellations and refunds work mechanically on the Platform, (b) what happens when a Studio has not posted its own cancellation policy, and (c) what to do if you cannot reach a Studio about a refund request.

2. Cancellations and Drop-in Class Bookings

A "drop-in" booking is a one-time purchase of a single Class.

2.1 Self-service cancellation

Each Studio chooses whether Students may cancel their own Bookings in the app ("self-service cancellation"). If a Studio turns self-service cancellation off, no cancel action appears on your booking screen, and all cancellation and refund requests go directly to the Studio using the contact information on its public profile. The rest of this Section describes how cancellation works when self-service cancellation is enabled (the default).

2.2 The cancellation window

Each Studio may set a cancellation window — a number of hours before the Class start time — displayed on the Studio's public profile and in the booking flow, along with any policy note the Studio has written. The window controls what you get back, not whether you can cancel:

  • Cancel before the window closes (or at any time before the Class starts, if the Studio has not set a window): your Booking is canceled, your spot is released to the waitlist, and a refund is issued automatically through Stripe. The refund covers the full amount you paid, including SavaSync's platform fee.
  • Cancel after the window has closed but before the Class starts (a "late cancellation"): you may still cancel to free your spot for another Student — the button is labeled "Cancel without refund" and asks you to confirm — but no refund is issued for a late cancellation.
  • After the Class start time: Bookings can no longer be self-canceled. A Booking you do not attend is a no-show.
  • Free bookings can be canceled at any time before the Class starts, regardless of the window.

No-show: SavaSync does not automatically charge no-show fees and does not automatically refund no-show Bookings. Refund eligibility for no-shows is the Studio's decision.

Studios may also issue refunds directly at any time (for example, as a goodwill gesture after a late cancellation or no-show).

2.3 Course Series

When you cancel a single session of a Course Series, the cancellation window applies in the same way and your spot is released — but no automatic refund is issued, because a Course Series is purchased as a single bundle covering every session. Refunds for Course Series purchases (in whole or in part) are handled by the Studio; contact the Studio directly.

2.4 How refunds are processed

When a refund is issued, SavaSync requests the refund through Stripe. Stripe returns the funds to the original payment method. Most refunds appear on your statement within 5 to 10 business days. SavaSync has no control over your bank's processing time.

Refunds are returned to the same payment method used for the original charge. We cannot redirect refunds to a different card or bank account.

2.5 Cash (pay-at-the-door) Bookings

Where a Studio enables pay-at-the-door for a Class, you book in the app and pay the Studio in person. Cancellation works the same way as Section 2.2 — the cancel action, the cancellation window, and the "Cancel without refund" behavior all apply — but no money moves through SavaSync in either direction:

  • Canceling a pay-at-the-door Booking you have not yet paid simply releases your spot; there is nothing to refund.
  • If you already paid at the door (the Studio marked your Booking paid), SavaSync cannot return that money. Any refund of an in-person payment is handled directly between you and the Studio, at the Studio's discretion and per its posted policy.

3. Memberships

A "Membership" is a recurring subscription a Student purchases from a Studio that provides access to that Studio's Classes per the Studio's terms.

3.1 Cancellation

You may cancel a Membership at any time from your account settings under Memberships → Cancel. Cancellation takes effect at the end of the current billing period. You retain Membership access for the rest of that period. SavaSync does not prorate the partial period.

3.2 Refunds on the current billing period

We do not automatically refund the current billing period when you cancel. If you believe a refund is warranted (for example, the Studio closed unexpectedly or stopped offering Classes), contact the Studio first. The Studio may issue a partial or full refund at its discretion through its Stripe dashboard.

3.3 Failed payments

If your payment method fails when we attempt to charge a renewal, Stripe will retry several times per its standard rules. We will email you about the failed payment so you can update your payment method. While retries are pending, the Membership shows a "past due" status; it returns to "active" if a retry succeeds, and transitions to "canceled" if Stripe exhausts its retries without a successful payment.

3.4 Pausing a Membership

Where the Studio enables it, you may pause your Membership from your account. While paused, you are not billed, and you cannot book Classes against the Membership. You can resume at any time, and billing restarts at the next normal interval.

4. Class Packs

A "Class Pack" is a pre-purchased credit of multiple Class admissions, typically sold at a discount versus drop-in pricing.

4.1 Refund eligibility

Refunds of Class Pack purchases — whether the Pack is fully unused or partly used — are at the discretion of the Studio that sold you the Pack, per its posted policy. To request one, contact the Studio directly; the Studio can issue a full or prorated refund through its Stripe dashboard.

A Class is considered "redeemed" the moment you book it against the Pack, not when you attend. Canceling a Pack booking follows the cancellation-window rules in Section 2.2: cancel before the window closes (or any time before class start if no window is set) and the credit is restored to your Pack; a late cancellation (after the window has closed) still frees your spot but the credit is not restored. Membership bookings work the same way — a late cancellation does not return that class to your monthly allowance.

4.2 Expiration

Class Packs may have an expiration date set by the Studio. Unused credits expire on the expiration date and are not refundable after expiration unless the Studio chooses to honor a goodwill refund.

5. Chargebacks and Disputes

If you dispute a charge with your card-issuing bank (also called a "chargeback"), Stripe will notify the Studio and SavaSync, and the dispute will be handled per Stripe's standard process.

While a chargeback is open:

  • The disputed amount is held by Stripe and is not paid out to the Studio.
  • The Class booking remains visible in your account, but related access (Membership, future Bookings) may be restricted.
  • If the Studio prevails in the dispute, the chargeback is reversed and the booking remains valid.
  • If you prevail (or the Studio does not respond), the chargeback is finalized and the booking is canceled.

Filing a chargeback for a booking you did attend, or for a Membership you used, may result in SavaSync placing your account under review while we investigate. Accounts found to have filed fraudulent chargebacks may be suspended or terminated. If a chargeback was filed by mistake, contact the Studio first and ask them to refund you directly; that's faster than the chargeback process, and withdrawing the dispute typically clears the review.

6. How to Request a Refund

The fastest path to a refund is to cancel from the booking screen before the Studio's cancellation window closes — that cancellation refunds you automatically per Section 2.2.

If the window has already closed, the in-app action becomes "Cancel without refund" — use it only if you want to release your spot without a refund. For a refund after the window has closed (or for a Class that already happened, or where the Studio has disabled self-service cancellation), contact the Studio directly via the contact information on its public profile; Studios can always issue refunds directly.

If the Studio is unresponsive for 7 days or more after a written request, contact SavaSync at legal@savasync.com. We may mediate between you and the Studio — typically by reaching out to the Studio on your behalf and sharing booking and payment records held in SavaSync — but we are not obligated to issue refunds for Classes we did not deliver and did not collect funds for.

7. SavaSync Subscription Fees

This Policy covers refunds for Class Bookings and Memberships between Students and Studios. SavaSync's own subscription fees (Instructor Pro at $9/month or $90/year, Instructor Premier at $19/month or $190/year, Business Pro at $29/month or $290/year, and Business Premier at $59/month or $590/year) are governed by Section 8 of our Terms of Service: Pro-tier and Premier-tier subscriptions include a 14-day free trial during which you may cancel from account settings at no charge. After the trial ends, billing recurs on the interval you selected (monthly or annually). You may cancel a Pro or Premier subscription at any time from account settings; you retain your subscription's features through the end of the current billing period — for annual subscriptions, through the end of the paid year — and we do not prorate refunds for the current period.

8. Tips and Promo Codes

Tips. A Student may add an optional Tip to a Booking at checkout. Tips are paid in full to the Studio or Instructor receiving the Booking — SavaSync does not retain any platform fee on a Tip. If a Booking is refunded, the Tip is included in the refund.

Promo Codes. Promo Codes are created and configured by Studios and Instructors and applied to a Booking at checkout. When a Promo Code is applied:

  • The discount reduces the price the Student pays.
  • SavaSync's platform fee (where applicable) is calculated on the discounted price, not the original price. A 100% discount Promo Code results in no platform fee.
  • If a Booking made with a Promo Code is refunded, the refund returns the discounted amount actually paid, not the original price.
  • Promo Codes may be subject to per-Code redemption limits, expiration dates, or product restrictions set by the issuing Studio or Instructor.

9. Changes to This Policy

We may update this Policy from time to time. Changes take effect when we post them, and we will note the new effective date at the top. Material changes (changes that reduce your refund rights or add new fees) will be announced by email and by an in-app notification at or before the time they take effect, and a reduction in your refund rights will not be applied to a booking you already made. Non-material changes (typo fixes, clarifications) take effect immediately upon posting.
